AI Chatbot Costs & Project Planning: What to Ask

Plan an AI chatbot for your business website: use cases, knowledge, integrations, human handover, recurring costs and pilot acceptance checks.

Choose a task before choosing a model

A useful chatbot brief starts with the visitor’s task. Write down the questions people ask repeatedly and the action they should be able to take afterwards. An assistant that explains services has a different scope from one that reads order status or creates a CRM record. Start with a short, valuable conversation rather than a promise to answer everything. List the questions the assistant must decline or pass to a person.

Prepare knowledge that you can maintain

Gather approved service descriptions, product information and policies. Record who owns each source and how it will be updated. If two documents disagree, resolve the conflict before testing. Sensitive internal information should not be included simply because it is available. Agree which users can access which information and whether the assistant needs live data. A static knowledge base cannot reliably answer a changing stock or appointment question.

Separate build costs from usage costs

The build can include conversation design, connecting knowledge, integrations, interface work and testing. Ongoing costs may include hosting, model usage, monitoring and content updates. The amount depends on traffic, message length, chosen services and the agreed workflow. Ask which accounts you own, how usage is measured and what happens when limits are reached. A screenshot or prepared demo is not a production integration, so confirm what the quoted deliverable actually connects to.

Design the fallback before launch

Define what happens when the assistant has insufficient information, an integration fails or a visitor asks for a person. A useful fallback offers an appropriate contact route and explains the next step clearly. Test attempts to obtain unsupported prices, confidential information or account-specific details. Human handover should work without forcing a visitor to repeat an unnecessarily long conversation. Only collect the information needed for the agreed task.

Evaluate a pilot with examples

Create a small test set of common questions, ambiguous questions and requests that require a person. Agree what counts as an acceptable answer and who reviews failures. Track response quality and successful handovers alongside usage costs. Compare the pilot with the current process before widening its scope. A production assistant also needs an owner for content changes, error reports and periodic testing.

Send a brief that leads to a useful proposal

Share your website URL, the first use case, approved information sources, required integrations and expected message volume if known. Include an existing account or platform only if it is relevant.
